4. Event Registrations & Membership

4.1 Event Registrations

Registration for CCIFWC events may be subject to event-specific conditions, including eligibility, capacity, deadlines, fees, cancellation terms and refund conditions.

Event information displayed on the registration page or communicated to participants forms part of the applicable registration conditions.

CCIFWC reserves the right to modify an event’s schedule, venue, speakers, format or program where reasonably necessary.

4.2 Membership

CCIFWC memberships are subject to the applicable membership category, fees, benefits, renewal conditions and other terms communicated at the time of application or renewal.

Membership does not create an employment, agency, partnership or joint venture relationship between CCIFWC and a member.

4.3 Payments

Membership fees, event registration fees and any other applicable charges must be paid in accordance with the payment terms communicated at the time of registration, membership purchase or renewal.

4.4 Payments and Refunds

Unless otherwise specified for a particular event, program or service, the following cancellation and refund policy applies:

• Cancellations received more than 72 hours before the scheduled start of the event may be eligible for a refund, less any applicable administrative or transaction fees.
• No refunds will be issued for cancellations received within 72 hours of the scheduled start of an event.
• No refunds will be issued for participants who do not attend an event (“no-shows”).
• Registrations may be transferred to another participant upon prior written request and subject to CCIFWC approval.
• For online events and webinars, the same cancellation policy applies unless otherwise specified on the event registration page.
• CCIFWC reserves the right to cancel, postpone or modify an event due to unforeseen circumstances. In such cases, registered participants will be notified as soon as reasonably possible, and any applicable refund, transfer or credit options will be communicated.

CCIFWC reserves the right to review exceptional circumstances on a case-by-case basis. Any exception to this policy remains at the discretion of CCIFWC.

4.5 Force Majeure

CCIFWC shall not be held responsible for any delay, cancellation, interruption or modification of an event, program, service or website resulting from circumstances beyond its reasonable control.

• Treat participants, speakers, volunteers, staff and partners with courtesy and respect
• Refrain from harassment, discrimination, intimidation or disruptive behaviour
• Comply with venue rules and reasonable instructions provided by CCIFWC staff or event organizers
• Conduct themselves in a manner consistent with the professional nature and reputation of CCIFWC

CCIFWC reserves the right to refuse admission to, or remove, any participant whose behaviour is considered inappropriate, disruptive, unsafe or harmful to other participants or to the organization.

Where a participant is removed due to misconduct, no refund will be issued.

4.7 Photography, Video Recording and Media Consent

CCIFWC events may be photographed, filmed or otherwise recorded for communication, promotional, educational or archival purposes.

By attending a CCIFWC event, participants acknowledge that photographs, video recordings or audio recordings may capture their image, likeness or voice.

Unless a participant informs CCIFWC otherwise before or during the event, attendance may be understood as consent for CCIFWC to use such photographs or recordings in its publications, website, newsletters, social media channels and other communications.

Participants who do not wish to appear in photographs or recordings are encouraged to notify a member of the CCIFWC team before the event or upon arrival so that reasonable efforts can be made to accommodate their request.
